Build a segment
A segment is a saved, dynamic group of contacts that match rules you set — like “everyone in the Customer stage who opened an email in the last 30 days.” RadarSend re-checks the rules for you, so the segment always reflects who qualifies right now.
Before you begin#
- Have some contacts in your workspace. If you haven’t yet, import your contacts first — a segment can only match people who are already in RadarSend.
Create a segment#
- In the main sidebar, under Audience, click Segments.
- Click New Segment (top right). On a fresh workspace you’ll instead see Create your first segment to target specific contacts with the same New Segment button.
- You land in the segment builder. In the title field at the top (placeholder Name this segment…), type a clear name. A Dynamic badge next to the name is a reminder that membership updates itself.
You can rename a segment any time by editing this title. Nothing is saved until you save (see below), so feel free to experiment.
Add filter rules#
Rules live in the filter bar below the title. Each rule is a condition — a field, an operator, and (usually) a value.
- Click Add filter. A picker opens with filter categories down the left — Contact Profile, Email Engagement, Specific Email Behavior, Click Behavior, Attribution, Web Activity, Engagement Depth, Activities, Subscription & Compliance, Scoring & Lifecycle, Segment Membership, and Deliverability. Pick a category, or use Search … filters… at the top to find one by name.
- Click a filter (for example Lifecycle stage under Contact Profile). It’s added as a pill and opens for editing.
- Choose an operator and, if needed, a value. The operators you see depend on the field:
- Text fields: equals, does not equal, contains, starts with, is set, is not set, and more.
- Number fields: greater than, less than, between, and so on.
- Date fields: before, after, within last N days, not within last N days.
- Operators like is set / is not set need no value — they just check whether the field is filled in.
- To add more rules, click Add filter again. To remove a rule, click the pill and remove it.
Match ALL vs Match ANY#
Once you have two or more rules, a toggle appears:
- Match ALL — a contact must satisfy every rule (this is AND).
- Match ANY — a contact needs to satisfy at least one rule (this is OR).
This one choice applies to all your rules together. (RadarSend doesn’t nest separate AND and OR groups — pick the single logic that fits, and lean on the individual rules to narrow things down.)
As you build, the Summary card writes your rules out in plain language and shows a live count of how many contacts match, plus a Recent matches preview (Contact, Company, Stage, Prospect Score, Last activity). Click View all … in Contacts to see the full list.
Save and use it#
- When the segment looks right, click Create segment at the bottom. (Editing an existing segment, the button reads Save changes and stays greyed out until you actually change something.)
- You need a name and at least one filter — RadarSend prompts with Name is required or Add at least one filter if either is missing.
To send to a segment: create a broadcast and pick your segment as its audience. See Create and send a broadcast. From the Segments list, the row menu (⋮) also has Use in broadcast, Export members, Duplicate, and Refresh count.
Common issues#
- Create segment is greyed out / nothing happens. You’re missing a name or a filter. Add a name and at least one rule.
- Too few (or too many) matches. Check your Match ALL / Match ANY toggle — ALL narrows, ANY widens. Watch the live count in the Summary card as you adjust.
- A rule won’t let me type a value. Operators like is set and is not set don’t take a value by design.
- The count on the list looks stale. Open the row menu and choose Refresh count, or use the refresh icon next to the count.
- I don’t see my segment in the list. The Segments page shows dynamic segments only. Also check the search box at the top of the list.
Good to know#
- Dynamic, not a fixed list. Segments built here are Dynamic: RadarSend re-evaluates the rules, so contacts join and leave automatically as their data changes. You never hand-maintain the roster.
- When membership updates. The count you see is evaluated on demand — the list shows when it was last evaluated, and Refresh count recomputes it. When you send to a segment, RadarSend resolves the current members at send time.
- Active vs total. The count separates active contacts from those suppressed (unsubscribed, bounced, etc.), so you can see who’s actually reachable.
- Reuse a good segment. Use Duplicate from the row menu to start a new segment from an existing one instead of rebuilding it.
